Learn the best practices for validating show entries and submitting results to APHA.

A show secretary’s job starts by validating submitted entries well before the first horse steps onto the showgrounds. This effort helps catch exhibitors with missing paperwork or those that are ineligible for classes they have entered, allowing for revision before the show takes place. This helps alleviate both frustration and wasted fees for the exhibitor and the show staff. APHA provides a number of tools to make this validation process easier:

Show Management Services Site

Use APHA’s Show Management Services Site to ensure all exhibitors have their necessary paperwork in order (memberships, show cards, ownership/relation to owner, or show leases) and fix typos in names and APHA member/horse numbers. Access horse details to find ownership/lessee information, registry type, and exhibitor relationships that are already on file with APHA. Member detail can confirm if a current membership is in effect and if the exhibitor has necessary show cards, and it indicates if a member is suspended by APHA. Remember, all fields must be completed in the show results files (including horse registration number and APHA member ID number) before APHA will accept the results. Use the Show Results Upload before the show to quickly check your entries for missing numbers, names that don’t match numbers, missing show cards, and missing ownerships, relationships or leases.

Show Forms

Exhibitors who need memberships and/or show cards can submit those online or fill out temporary applications at your show, which you will submit with your results to be processed by APHA.

Transfers of ownership and show leases must be submitted directly to APHA for processing and completed before the first day of the show. APHA rules require the ownership/lease detail be on file with the association at least one day prior to the start of the show in which they’re exhibiting.

For exhibitors participating in a division with an ownership requirement (Youth, Novice Youth, Amateur, Novice Amateur, Walk-Trot, etc.), the horse must be owned by the exhibitor or an immediate family member in order to receive APHA points, awards, and titles. Exhibitors who do not meet that requirement must transfer the horse or file a show lease with APHA. Those can be submitted online at PHcentral.com.

Submitting show results electronically is the most efficient way for APHA to process the results and get them posted for exhibitors. Results may be submitted by email so long as they meet the requirements for sending results electronically. If you are using one of the approved software programs, the results are already formatted correctly.

Show results with more than a 5% error rate will be returned to the show secretary for correction and resubmission, and late fees will be assessed. The Show Management Services site is a great tool to help show secretaries ensure that exhibitors have all of the necessary paperwork (memberships, show cards, ownership/relation to owner/show leases) in order prior to result submission and to catch typos in names, numbers and class codes.
